You do not necessarily need an extension to reuse a reply in Gmail. Templates saves text for insertion into another message. It suits relatively stable instructions or acknowledgments.
Google documents Templates on a computer. This guide covers that built-in feature. For extensions, see the Gmail text expander comparison.
Enable and save a template
Open Gmail on your computer. From Settings, open all settings, then Advanced. Enable Templates and save the change.
Write the reusable text in a new draft. In the compose window’s three-dot menu, open Templates and save the draft as a new template. Give it a descriptive name such as “Document request,” rather than “Reply 1.”
Labels depend on interface language. The official Google guide documents setup, insertion, editing and deletion.
An example to personalize
Hi [CLIENT NAME],
To review request [REFERENCE], we need [REQUIRED DOCUMENTS]. Could you reply to this email with them attached?
Thanks, [AGENT NAME]
The brackets are manual reminders, not interactive Gmail fields. Replace them before sending. Keep client and agent separate to avoid an incorrect signature.
Insert and maintain the template
In a new draft, open Templates from the compose menu and choose the text to insert. Complete the recipient and changing details. Check the signature and attachments before sending.
To update it, prepare the corrected text and save the draft over the existing template. Keep a copy of important content before deletion: Google states that deleted templates cannot be recovered.
When a text expander helps
For keyboard triggers, interactive questions or replies used outside Gmail, consider FillKit and the other options. There is no need to migrate if a few built-in templates already cover the job.
Does inserting a template send the email?
The route described places text in a draft. Automatic replies through filters are separate and unnecessary for manual reuse.
How do I avoid a neglected library?
Review the templates you use and update links, deadlines and procedures. The repetitive-email guide helps you choose useful content.
