Repeated emails are rarely completely identical. The greeting, instructions and signature stay similar; the recipient, reference and next step change. Separating those parts saves work without making the answer impersonal.
Find five messages you actually use
Look through last week’s sent mail for acknowledgments, document requests, appointments and follow-ups. Choose five frequent situations, not fifty hypothetical ones.
For each message, distinguish stable information from decisions. Do not save a previous customer’s name, reference or amount inside the fixed text.
Turn a reply into a template
This example can become a snippet:
Hi {Client name},
Thanks for contacting us about {Request topic}. We will update you by {Reply deadline}.
Best regards, {Agent name}
In FillKit, custom placeholders become questions at insertion time. Use {Reply deadline} for a date you want to choose: the built-in {date} token calculates a date rather than asking for a deadline. Your signature can also use saved personal details or a separate snippet.
Use recognizable shortcuts
Keep a consistent prefix and name the situation: ;received, ;documents, ;meeting, ;followup. A slightly longer shortcut is preferable to an abbreviation you have to look up.
Save the snippet and test it in a draft using the setup instructions. Inserting text does not send the email. Check the recipient, values and tone before sending.
Maintain shared building blocks
When several replies use the same instructions, separate that block from the greeting and signature. FillKit chains combine snippets and free text, making a common block easier to update than many copies.
Revise content when procedures change. Add folders when finding a message becomes difficult, rather than organizing an empty library in advance.
Review the result after a week
Count actual uses and corrections. Time saved is the difference between manual writing and insertion plus checking, not the entire time previously spent on the email.
Are Gmail Templates enough?
They may be enough for a few messages used only in Gmail. The Gmail Templates guide explains setup. A text expander becomes more useful for shortcuts and content reused in CRMs or help desks.
Which messages need individual writing?
Complex complaints and exceptions require judgment. Reuse stable instructions where appropriate, then write the part specific to that person.
